· This position assists in the implementation of the University Police Department Crime Prevention and Training programs, as well as assisting in the coordination of police security services at University special events. Provides a wide variety of documents and performs secretarial assistance requiring independent judgment.
· Assists in the coordination of police and security services at University Special Events. Liaison with external university departments and entities for the department Special Events Lieutenant for Dignitary Protection, Special and Overtime events; composes correspondence, screens calls and responds to inquires about overtime and special events. Maintains calendar, schedules meetings with Vice President, FBI, VIP's, etc. Resolves problems relating to Special Events and Overtime areas. Provides support to other members of the University Police Management Team.
· Receives
notice of event(s), resolving problems by interpreting University Policies and
Procedures. Composes sign-up sheet for officers with location, contact person,
number of officer(s), dates and times. Crucial that this is monitored very closely
contacting officers of any canceled events, the need of more officers to work
or that the event has been selected for security coverage. In the absence of
the Special Events Lieutenant, makes recommendations on Special Events, i.e.:
(draft policy, coverage, dates, time, number of officers, etc.). Provides special
event orders with officer's assignments and distributes photocopies of same.
Maintains and monitors the Lieutenants records (i.e., green sheets, notices,
after action reports, etc.), as well as log of hours worked by each officer
for selection purposes and draft policy.
Determines amount to charge organizations for special events. Resolves problems
and discrepancies regarding officers and event charges. Provides data entry
of overtime of special events worked by individual officers on local area network
and calculates hours/charges for each.
· Calculates and issues a monthly overtime and special events budget report for the Director and Administrative Assistant. Compiles and distributes a weekly special University events calendar of overtime and special events for the Director.
· Assists in the implementation of the University Police Department Crime Prevention programs. Coordinates crime prevention presentation schedules for personal safety and property protection programs. Designs Crime Prevention bulletins, reports and certificates. Composes, types and distributes monthly bulk mail letters for the Crime Prevention unit.
· Assists in the implementation of all phases of the University Police Department training programs. Assists in the coordination and scheduling of in-service and Criminal Justice Standard and Training Commission sponsored training for police personnel. Maintains training records for all Sworn Personnel in the Division. Ensures all Florida Department of Law Enforcement, Division of Criminal Justice Standards and Training requirements regarding training are credited correctly for Law Enforcement Incentive Program (LEIP) payment (FSS 943.22). Monitors that mandatory retraining requirements are met and documentation is forward to Tallahassee, which is vital for the officer's to maintain certification with the State of Florida, (FSS 943.135). Prepares and certifies LEIP payment for all sworn personnel.
· Maintains all training bulletins for the department, routes, follows up in a timely manner material disseminated to Management staff and other sworn personnel. Maintains training manuals, personnel files and other reports as required. Types drafts, revisions, updates and finalizes stored material for automatic playback; including department training reports etc. Merges stored material in processor for use in special projects.
